Green School respects your privacy and is committed to protecting your personal information. We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) in managing how we collect, use, disclose, and store your personal information.

We may collect the following types of personal information:

• Name, email address, phone number, billing address;
• Payment information (via Shopify);
• Information about your interactions with our website (e.g. pages viewed, referral source, IP address, browser type, device information, time zone, cookies);
• Messages and related metadata from social messaging platforms (Instagram Direct and Facebook Messenger) when you contact us there, including message content, attachments, timestamps, and the platform-scoped identifier the platform assigns to you. We do not receive your email address or phone number from these platforms;
• Any correspondence you send to us.

2. How We Collect Personal Information

We collect personal information directly when you:

• Register for or purchase our services;
• Subscribe to newsletters or other communications;
• Contact us via web forms, email, or phone.

We also collect information automatically through cookies and analytics tools like Google Analytics.

3. How We Use Personal Information

We use your personal information to:

• Provide and manage our English language services;
• Process payments securely via Shopify;
• Send transactional or service-related emails via Mailjet;
• Manage enrolments and customer records;
• Comply with legal obligations;
• Monitor website performance and user behavior;
• Communicate with you, including promotional communications (if you opt in);
• Respond to enquiries received through Instagram Direct and Facebook Messenger. Some replies are generated automatically by an AI assistant. You are told at the start of the conversation that you are talking to an automated assistant, and you can ask for a human at any time.

4. Disclosure to Third Parties

We may disclose your personal information to trusted third-party service providers, including:

• Shopify (payment processing);
• Stripe(payment processing);
• Mailjet (email communications);
• Google Docs (enrolment and order management);
• Our IT and hosting providers;
• Government agencies or regulators when legally required;
• Meta Platforms (Instagram and Facebook Messenger message delivery);
• Anthropic (AI processing of message content to draft replies);
• Cloudflare (hosting and data storage).

These third parties may store data outside Australia.

5. Overseas Disclosure

Some of our service providers (such as Shopify and Mailjet) may store personal information in overseas jurisdictions including the United States and European Union. While we take reasonable steps to ensure these providers comply with Australian privacy standards, we cannot guarantee the laws of those countries offer equivalent protections.

6. Security of Your Personal Information

We store personal information securely using encryption and restrict access only to authorised staff. We take reasonable steps to protect your data from misuse, interference, loss, unauthorised access, modification, or disclosure.

7. Data Retention and Deletion

We retain your personal information for as long as necessary to provide our services and to meet legal and regulatory obligations. Messages received through Instagram Direct and Facebook Messenger are retained for up to 12 months and then deleted automatically. If you delete a message on the platform, we delete our copy of it.

To request deletion of your data, email hello@greenschool.au with the subject line "Data deletion request". We will confirm receipt and complete the deletion within 30 days. We cannot delete personal data held by third-party platforms (for example Shopify, Stripe, or Meta), which are subject to their own retention policies.

8. Access and Correction

You have the right to request access to the personal information we hold about you and to request corrections if the information is inaccurate, outdated, incomplete, or misleading.

If you believe we have breached your privacy rights, you may lodge a complaint by contacting us directly. We will respond within 30 days. If you are not satisfied, you may refer your complaint to the Office of the Australian Information Commissioner (OAIC):
